iGlobe’s Responsible AI Commitment: Principles, Practices, and Impact

Introduction: iGlobe’s Responsible AI Commitment

iGlobe is dedicated to embedding responsible AI principles into every aspect of our product development and business operations. As AI technologies become increasingly integrated into Microsoft 365 and our suite of solutions, our commitment to responsible AI ensures that we maintain the highest standards of customer trust, regulatory compliance, and brand reputation. Responsible AI at iGlobe is not just a policy—it is a guiding framework that shapes how we design features, manage data, and communicate value to our customers. By prioritizing fairness, transparency, privacy, security, and accountability, we aim to deliver AI-powered experiences that are ethical, reliable, and aligned with our customers’ expectations. This commitment is reflected in our engineering practices, product features, and ongoing compliance efforts, ensuring that every AI-driven capability in iGlobe’s apps is built and delivered with responsibility at its core.

Why Responsible AI Matters for iGlobe and Our Customers

Responsible AI is essential for iGlobe because it underpins the trust our customers place in us and ensures our solutions meet regulatory and ethical standards. As organizations increasingly rely on AI-driven features within Microsoft 365, our commitment to responsible AI directly impacts how customers experience our products and services.

By prioritizing responsible AI, iGlobe:

  • Strengthens customer trust through ethical design and transparent communication.
  • Supports regulatory compliance, reducing risks associated with data privacy and security.
  • Protects our brand reputation by demonstrating accountability and integrity in AI development.
  • Ensures that AI-powered features deliver value without compromising fairness, privacy, or security.

Ultimately, responsible AI guides every decision we make—from feature design to data handling—helping our customers confidently adopt AI technologies within their own organizations.

Core Principles of Responsible AI at iGlobe

iGlobe’s approach to responsible AI is anchored in a set of core principles that guide every stage of our product lifecycle. These principles ensure that our AI-powered features are trustworthy, ethical, and aligned with customer expectations.

  • Fairness: We are committed to preventing discriminatory outcomes by proactively testing features for bias risks where applicable.
  • Transparency: Our solutions include clear feature descriptions, documented limitations, and auditable behavior so users understand how AI is applied.
  • Privacy by Design: We minimize data collection, ensure data remains tenant-bound, and use encryption both in transit and at rest to protect customer information.
  • Security First: Secure development practices are embedded throughout our lifecycle, including SBOM generation, dependency scanning, and robust change management.
  • Accountability: We maintain human oversight for AI-assisted scenarios, have formal incident handling processes, and provide clear customer support routes for any AI-related concerns.

These principles are the foundation for how we build, deploy, and support AI capabilities across all iGlobe products.

How Responsible AI Principles Are Applied in iGlobe Apps

iGlobe’s responsible AI principles are embedded directly into the design and operation of our core applications, ensuring that every feature aligns with our commitments to privacy, security, and transparency.

  • Data Privacy and Security: iGlobe apps, including iPlanner Pro and Office2SharePoint, are architected so that no customer application data is stored or processed on iGlobe servers. All data remains within the customer’s Microsoft 365 tenant or Azure boundaries, and delegated permissions are used to ensure data access is always tenant-scoped. This approach is confirmed through Microsoft 365 App Certification and regular penetration testing.
  • Transparency and User Control: Features such as time tracking, task management, and document filing are designed to be transparent and auditable. Users are provided with clear UI cues for automated actions and can review or adjust outcomes as needed.
  • Policy-Aware Functionality: Office2SharePoint applies structured filing rules and policy-aware metadata, supporting traceability and alignment with customer governance and retention requirements. If a company updates its retention or classification policy, the app adjusts behavior automatically to remain compliant.
  • Secure Development and Change Management: iGlobe employs a secure development lifecycle using Azure DevOps, with strict separation between development and production environments. All changes are risk-ranked, tested, and tracked, and access to environments is tightly controlled with multi-factor authentication and approval processes.
  • Incident Handling and GDPR Compliance: iGlobe follows a formal process for handling data requests and incidents, including GDPR-mandated procedures for data deletion and breach notification, as outlined by the Danish Data Protection Agency. Customer requests are tracked and resolved using iPlanner Pro, ensuring accountability and timely response.

By integrating these responsible AI practices, iGlobe ensures that customers benefit from innovative AI-powered features while maintaining full control, privacy, and compliance at every step.

Engineering and Compliance Practices Supporting Responsible AI

iGlobe’s commitment to responsible AI is reinforced by robust engineering and compliance practices that ensure our solutions are secure, trustworthy, and compliant with industry standards.

  • Microsoft 365 App Certification: All iGlobe apps undergo Microsoft 365 App Certification, providing assurance of trust and security for our customers.
  • SBOM and Dependency Scanning: We generate Software Bill of Materials (SBOM) using CycloneDX in our CI/CD pipelines and perform regular vulnerability scans with tools such as OWASP Dependency Check and Snyk to identify and mitigate risks.
  • Secure Development Lifecycle: Our engineering process incorporates secure coding practices, peer reviews, and controlled releases managed through Azure DevOps, ensuring that every change is thoroughly vetted before deployment.
  • Data Residency and Isolation: Customer data remains within Microsoft 365, strictly confined to the customer’s own tenant or Azure boundaries. No data is stored on local or virtual servers at iGlobe, maintaining strict data isolation and privacy.

These practices are integral to how we build, test, and deliver AI-powered features, ensuring that iGlobe’s solutions consistently meet the highest standards of security, privacy, and regulatory compliance.

Customer Data Protection and Privacy Measures

iGlobe’s approach to customer data protection is built on a strict policy of not accessing, storing, or processing customer application data. All iGlobe apps are designed so that customer data remains within the customer’s own Microsoft 365 tenant or Azure boundaries, ensuring that iGlobe does not have access to sensitive information unless explicitly required for support and governed by a Data Processing Agreement (DPA).

Key privacy measures include:

  • No Data Access by Default: iGlobe apps and add-ins are built to operate without requiring iGlobe to access customer data. If access is ever needed for support, a formal DPA is established with the customer.
  • GDPR Compliance: iGlobe follows the process described by the Danish Data Protection Agency for handling data breaches and GDPR requests. This includes timely notification of stakeholders (within 24 hours), incident reporting, and a clear process for data deletion upon request.
  • Transparency and User Control: Admin users at the customer organization can view and manage the data registered for licensing purposes. Deletion of records is possible directly from the license administration interface.
  • Annual Policy Review: All privacy and data protection policies are reviewed annually to ensure ongoing compliance and effectiveness.
  • Minimal Data Collection: The only data collected by iGlobe apps is related to license management and is never used for any other purpose. No personal identification information is sold, traded, or rented to third parties.

These measures ensure that iGlobe customers retain full control over their data, benefit from robust privacy protections, and can trust that their information is handled in accordance with the highest industry standards.

Conclusion: Building Trust Through Responsible AI

iGlobe’s dedication to responsible AI is more than a set of policies—it is a continuous commitment to building and maintaining trust with our customers. By embedding fairness, transparency, privacy, security, and accountability into every stage of our product lifecycle, we ensure that our AI-powered solutions are not only innovative but also reliable and ethical. Our engineering and compliance practices, combined with robust data protection measures, provide customers with confidence that their information is handled with the utmost care and in accordance with the highest industry standards. As AI continues to shape the future of work, iGlobe remains steadfast in our mission to deliver value through responsible technology, empowering organizations to adopt AI with trust and peace of mind.
